Privacy policy

What we collect, why we collect it, who we share it with, and how you get it back or get rid of it.

1. Who we are

Odovera is a brand of Affluence Hospitality LLC. Affluence Hospitality LLC is an independent travel agency that arranges car rental reservations with third-party rental suppliers. We are the controller of the personal information described in this policy. We are not a car rental company, and the rental suppliers you book with are separate businesses with their own privacy policies, which govern what they do with your information once a reservation is placed with them.

2. Information we collect

Information you give us

  • Trip details: pickup and drop-off locations, dates and times, vehicle class, driver age, number of passengers and any special requirements you tell us about.
  • Contact details: name, email address, telephone number and, where relevant, postal address.
  • Booking details: driver name, the type of payment card you intend to present at the counter, additional drivers, loyalty or corporate account numbers you ask us to apply, and free-text notes about your trip.
  • Correspondence: emails, messages and call recordings. Calls to our agents may be recorded for training and quality purposes; you are told this at the start of the call.

Information collected automatically

  • Device and browser type, operating system, screen size and language.
  • IP address and approximate location derived from it.
  • Pages viewed, referring URL, advertising click identifiers, and how you moved through the site.
  • Cookie and similar identifiers, as described in our Cookie Policy.

What we do not collect here

We do not ask for, and you should never enter into this website, full payment card numbers, driving licence numbers, passport numbers or social security numbers. Payment card details are given by you directly to the rental supplier at the counter. Where a booking genuinely requires a card guarantee, an agent will tell you how that is collected securely — never through a form on this site.

3. How we use your information

  • To prepare and send you car rental quotes and to answer your questions.
  • To place, amend and cancel reservations with rental suppliers on your instruction.
  • To compare available rental suppliers for your trip and prepare the options we send you.
  • To contact you about a booking, including changes, supplier notices and pickup instructions.
  • To provide customer service and to handle complaints or disputes with a supplier.
  • To keep accounting, tax and commission records required by law.
  • To detect, prevent and investigate fraud and misuse of our service.
  • To measure how our advertising performs and to improve the website, in line with your cookie choices.
  • To send service or marketing messages where you have asked for them or where permitted by law, with an unsubscribe link in every marketing email.

4. Legal bases

Where data protection law requires a legal basis, we rely on: performance of a contract with you, or steps taken at your request before entering one (quoting and booking); our legitimate interests (running and improving the business, security, fraud prevention, and direct marketing to existing customers); your consent (non-essential cookies, and marketing where consent is required); and compliance with legal obligations (tax, accounting and lawful requests).

5. Who we share your information with

  • Car rental suppliers and the reservation systems they use — this is unavoidable, because a reservation is made in your name with them. They handle your information under their own privacy policies.
  • Service providers who work on our behalf under contract: website and email hosting, customer relationship and telephony systems, call recording, analytics and advertising platforms, and payment processing where a service fee applies.
  • Professional advisers such as accountants, auditors and lawyers, where necessary.
  • Authorities, where we are required to disclose information by law, court order or a valid legal request.
  • A successor business, if the business is sold or reorganised, subject to this policy continuing to apply.

We do not sell your personal information for money. Some advertising and analytics cookies may constitute “sharing” or a “sale” under certain US state privacy laws; see section 9 and our privacy choices page.

6. Advertising and analytics

We advertise online, including on search engines, and we use analytics and advertising tools to understand which campaigns bring travellers to us and whether they lead to a booking. These tools may set cookies or similar identifiers and may receive information about your visit, including a hashed identifier where you have given us your email address and consented to that use.

Non-essential cookies are set only after you accept them in our cookie banner, and you can change your choice at any time from the Cookie Policy page. Where an advertising platform acts as an independent controller of the data it collects, its own privacy policy applies to that processing.

7. How long we keep it

Quote requests that do not become bookings are kept for up to 24 months so that we can pick up a conversation where it left off. Booking records, correspondence and commission records are kept for the period required by tax and accounting law, which is commonly seven years. Call recordings are kept for a shorter period, typically no more than 12 months, unless retained for a specific dispute. Website analytics data is kept in line with the retention settings of the platforms we use.

8. Your rights

Subject to the law that applies to you, you may ask us to: give you a copy of the personal information we hold about you; correct information that is wrong or incomplete; delete information we no longer need; restrict or object to particular uses, including direct marketing; and provide your information in a portable format. You may also withdraw consent at any time where we relied on it.

To exercise any of these, email privacy@odovera.com. We will verify your identity before acting, and we will respond within the period required by the law that applies to you. You will not be charged, and we will not treat you differently for asking. If you are unhappy with our response, you may complain to your local data protection or consumer protection authority.

9. US state privacy rights

Residents of California and of other US states with comprehensive privacy laws have rights to know, delete, correct and obtain a copy of their personal information, and to opt out of the sale or sharing of personal information and of targeted advertising. We do not knowingly sell personal information for money, and we do not use sensitive personal information for inferring characteristics.

To opt out of the use of advertising cookies and similar technologies for cross-context behavioural advertising, use the Your privacy choices page or choose “Essential only” in the cookie banner. You may use an authorised agent, and we honour recognised opt-out preference signals sent by your browser where technically feasible.

10. Security

We use access controls, encryption in transit, and vendor due diligence appropriate to the information we hold. No system is perfectly secure, and we will tell you and the relevant authorities about a breach affecting your information where the law requires it.

11. Children

Our service is intended for adults old enough to rent a vehicle. We do not knowingly collect personal information from children under 16. If you believe a child has given us information, contact us and we will delete it.

12. International transfers

We are based in the United States and our service providers may process information in other countries. Where information is transferred out of a country whose law restricts such transfers, we rely on an appropriate safeguard, such as standard contractual clauses.

13. Changes

We update this policy when our practices change. The date at the top always reflects the current version, and material changes will be signposted on the site.
